Terms of Service

These Terms of Service (“Terms”) govern sourcing requests and use of services offered by Japan Collector Concierge (“JCC”, “we”, “us”, or “our”).

By submitting an enquiry or using this website, you acknowledge that you have read and understood these Terms.

1. Sourcing Requests and Engagement

Submitting a sourcing request does not by itself create a confirmed sourcing engagement, purchase order, agency relationship or binding service contract. An automated acknowledgement confirms receipt only.

After you submit a request, JCC reviews feasibility and scope, then provides the applicable fees or quotation, purchase criteria and service terms for your approval. A sourcing engagement begins only after JCC confirms the request, you accept the applicable terms, and any required payment has been received.

Any required payment must be received before sourcing begins. Payment instructions will be provided after the sourcing request has been reviewed and accepted.

Do not submit card numbers, bank details or other payment information through the sourcing request form.

2. Services

Japan Collector Concierge provides private sourcing assistance for collectibles and related goods available in Japan.

We accept sourcing inquiries for both new and pre-owned collectibles from Japan. Availability and processing may vary depending on the item and sourcing channel.

Services may include:

• Online product research
• Physical store visits in Japan
• Basic visual condition checks
• Purchasing according to pre-agreed criteria
• Post-purchase photo reporting
• Storage and consolidation
• International shipping arrangements
• Arcade and crane game prize sourcing
• Custom sourcing for rare, complex, high-value, or multi-region requests

The exact scope of each request will be confirmed individually.

3. Eligibility and Service Area

Japan Collector Concierge provides services exclusively to customers residing outside Japan, regardless of nationality. We do not accept sourcing engagements from residents of Japan. Shipping destinations are normally outside Japan.

Eligibility is based on residence, not nationality: Japanese nationals residing outside Japan are eligible, while residents of Japan are not eligible regardless of nationality. Destination and shipping feasibility are confirmed individually.

Standard in-person sourcing is primarily available in Tokyo and Kanagawa.

Requests requiring travel outside these areas, multiple regions, events, queues, special access, or other additional complexity may require a Custom Quote.

4. Service Fees

Service fees include:

Private Sourcing

From $350 USD

Standard inclusions include:

• Up to 2 hours of local sourcing in Tokyo and Kanagawa
• One product type
• Basic visual condition checks
• Purchase according to agreed criteria
• Post-purchase photo reporting

Optional fees may include:

• Additional distinct item: +$40 per item
• Additional sourcing time: +$100 per hour
• Priority — start within 72 hours: +$150
• Urgent — start within 24 hours: +$300
• Pre-Purchase Approval: +$100
• Mint Priority: +$50 per item

Arcade Sourcing

From $400 USD

Standard Arcade Sourcing includes:

• One prize request
• Up to $50 in play fees

Additional prizes may be charged at +$100 per prize.

Standard Arcade Sourcing does not guarantee acquisition.

Guaranteed Acquisition, where feasible, is subject to a separate Custom Quote.

Complex & Rare Requests

Requests involving rare items, high-value products, multiple locations, events, travel outside Tokyo and Kanagawa, bulk purchases, or unusual requirements may be handled by Custom Quote.

All pricing is subject to confirmation before the engagement begins.

Taxes

Japanese consumption tax is not separately charged by JCC under its current tax status. Import duties, VAT, customs duties, customs clearance fees and other taxes or charges imposed by the destination country are the customer’s responsibility.

If JCC’s tax status or applicable law changes, JCC may revise the tax treatment of future quotations and invoices. Any resulting change to the amount payable will be disclosed before payment and, where applicable, submitted for the customer’s approval. This does not permit a unilateral increase to an already approved quotation, except as required by applicable law.

5. Product Costs

Product prices are separate from service fees.

Product payment requirements are as follows:

• Products priced at $200 or less: JCC may advance the purchase cost where purchase criteria have been approved in advance
• Products priced over $200 and below $1,000: product payment is required before purchase
• Products priced at $1,000 or above: Custom Quote

Where JCC advances the purchase cost of an item priced at USD 200 or less under pre-approved purchase criteria, the customer must reimburse the product cost within 7 days of receiving JCC’s invoice. Items will not be dispatched while product costs remain unpaid. JCC may decline further advance purchases while any product payment is outstanding. Nothing in this provision excludes or limits any rights or remedies that cannot legally be excluded or limited.

JPY to USD conversion

Product costs and international shipping charges originally incurred in JPY are quoted separately in USD using the Bank of Japan’s most recently published business-day 17:00 USD/JPY midpoint available when the relevant quotation is prepared. The quotation will state the JPY cost, the exchange rate expressed as JPY per USD, the reference date and the USD amount. Each line item is rounded to the nearest US cent, with half cents rounded up.

A USD amount approved within the quotation’s validity period will not be changed solely because exchange rates move before payment. An expired quotation that has not been accepted, or a change in the product price or agreed scope, requires a revised quotation and the customer’s renewed approval before proceeding.

For the USD 200 advance-purchase threshold, JCC uses the rounded USD product cost in the quotation presented for approval of that purchase. Service fees and international shipping are excluded from this threshold. Where the product price or scope changes, or an unaccepted quotation expires, the threshold is assessed again in the revised quotation before purchase.

JCC currently treats payment-processing costs and differences between the customer quotation rate and Stripe’s actual conversion rate as its own business costs. These costs do not create an automatic additional charge to the customer. Any separate additional charge requires the customer’s prior approval.

Availability cannot be guaranteed while awaiting payment.

6. International Shipping

International shipping is charged separately at actual cost unless otherwise agreed.

The client is responsible for:

• Import duties
• VAT
• Customs charges
• Destination taxes
• Carrier charges imposed at destination

JCC will not intentionally undervalue goods or falsely declare goods as gifts for customs purposes.

Shipping methods, tracking, insurance, and additional protection may be discussed before dispatch.

7. Storage and Consolidation

Complimentary storage and consolidation for up to 14 days is included. The complimentary storage period begins on the date JCC notifies the customer that sourcing for the engagement is complete and the items are ready for shipping arrangements. For engagements involving multiple items, the period normally begins with the completion notice for the entire engagement, not the purchase date of an individual item.

JCC will state the storage start and end dates in the completion notice. Dates are calculated in Japan Standard Time (JST), with the notice date counted as day one and the complimentary period ending at 23:59 JST on day fourteen.

Different storage conditions may be agreed in advance in the quotation or a separate agreement for exceptional circumstances, including a prolonged wait for an item at the customer’s request. Extended storage may be available by prior arrangement and may incur an additional fee. Long-term storage is not guaranteed.

8. Condition Checks

Standard condition checks are limited to areas that are reasonably visible without opening sealed products or dismantling packaging.

JCC may attempt to avoid products with obvious major external damage and may select a better available unit where reasonably possible.

However, JCC does not guarantee:

• Mint condition
• Hidden defects
• Internal defects
• Manufacturing defects
• Defects that cannot reasonably be identified through visual inspection

Mint Priority indicates enhanced attention to exterior condition but does not constitute a guarantee of mint condition.

9. Authenticity

JCC aims to source products from reputable retailers and other sources considered reasonably reliable.

We will not knowingly purchase obvious counterfeit goods.

However, unless expressly agreed otherwise, JCC does not provide professional authentication, certification, or an absolute authenticity guarantee.

10. Arcade Sourcing

Arcade and crane game sourcing involves an element of chance.

Unless specifically quoted as Guaranteed Acquisition:

• Acquisition is not guaranteed
• Service fees are not dependent on successful acquisition
• Play fees may be consumed without obtaining the requested prize

Packaging may also be exposed to ordinary risks associated with crane game play, including minor dents, scuffs, compression, or similar handling marks.

11. Sourcing Availability

Product availability, store inventory, release timing, pricing, and purchase restrictions may change without notice.

JCC does not guarantee that a requested item will be located, remain in stock, or be available at a particular price.

12. Pre-Purchase Approval

Where Pre-Purchase Approval is selected, JCC may provide photos, video, or other information before purchase where practical.

Inventory may sell out or become unavailable while awaiting client approval.

JCC is not responsible for loss of availability during the approval period.

13. Cancellations and Refunds

Cancellation and refund conditions are as follows, subject to applicable law and the terms confirmed for the engagement:

• Before sourcing begins: cancellation and any refund are subject to the agreed conditions
• After sourcing has started: the sourcing service fee is generally non-refundable
• After an item has been purchased: cancellation and refund are generally not available
• If no suitable item is found after sourcing has started, the sourcing service fee is generally non-refundable

If JCC is unable to perform the agreed service for reasons attributable to JCC, JCC will provide an appropriate refund or alternative arrangement.

The applicable cancellation and refund terms will be confirmed before the engagement begins. Nothing in these conditions excludes or limits rights or remedies that cannot be excluded or limited under applicable law.

Unused product advances. Unused product advances are accounted for separately from sourcing and service fees. Following reconciliation, JCC will refund any unused product balance in USD to the original payment method where supported. JCC will not deduct its payment-processing costs or exchange-rate losses from that balance. A balance will be applied to another item, shipping or a future request only with the customer’s express agreement.

Where the actual product cost is lower than the product advance, the settlement uses the customer-facing exchange rate in the original approved quotation, with USD amounts rounded to the nearest cent. This does not change the agreed cancellation and return conditions for services already started or items already purchased, or any rights or remedies that cannot legally be excluded.

14. Client Responsibilities

Clients are responsible for providing accurate and complete information, including:

• Item description
• Reference links
• Acceptable price range
• Condition preferences
• Destination country
• Shipping requirements
• Any purchase restrictions or preferences

JCC is not responsible for issues caused by inaccurate, incomplete, or misleading information supplied by the client.

15. Prohibited Requests

JCC may refuse requests involving:

• Illegal goods
• Counterfeit goods
• Restricted or prohibited exports
• Items that cannot legally be shipped to the destination country
• Requests involving false customs declarations
• Requests that create unreasonable safety, legal, or compliance risks

JCC may also decline any request at its discretion before accepting a paid engagement.

16. Limitation of Liability

JCC will take reasonable care in performing agreed services.

However, JCC is not responsible for losses arising from circumstances outside its reasonable control, including:

• Product stock changes
• Retailer cancellation
• Manufacturer defects
• Carrier delays
• Customs delays
• Customs seizure
• Import restrictions
• Force majeure

Nothing in these Terms is intended to exclude or limit liability where such exclusion or limitation is prohibited by applicable law.

17. Third-Party Services

JCC may use third-party services such as retailers, payment providers, shipping carriers, website providers, and communication platforms.

Those third parties may operate under their own terms and policies.

JCC is not responsible for acts or omissions of third parties outside JCC’s reasonable control.

18. Intellectual Property

The content, branding, text, graphics, and original materials on this website are owned by or licensed to Japan Collector Concierge unless otherwise stated.

Third-party trademarks, product names, characters, and intellectual property remain the property of their respective owners.

References to third-party products do not imply sponsorship, endorsement, or affiliation unless expressly stated.

19. Changes to These Terms

JCC may revise these Terms from time to time to reflect changes in services, pricing, legal requirements, or operational practices.

The latest version will be published on this page with an updated revision date.

20. Governing Law

Unless otherwise required by applicable law, these Terms are governed by the laws of Japan.

Any dispute relating to a sourcing engagement will be handled in accordance with applicable law and the specific agreement confirmed for that engagement.
